How to choose the Right Clinician
Before booking, please ensure the clinician you choose is suitable for your situation. Please review each clinician’s profile on our Meet Our Team page and confirm the following:
✅ Medical Condition
Ensure the clinician treats your specific condition.
✅ Service Area
Ensure your state of residence matches the clinician’s authorised service area. Due to prescribing regulations, some psychiatrists are only authorised to treat patients in specific states.
✅ Age
Ensure the clinician accepts patients of your current age.
✅ Appointment Format
Ensure they offer your preferred format (Telehealth or Face-to-Face)
🚫 Referral Type
Ensure your referral is not for WorkCover, Medico-legal, CTP claims, or DVA, as we do not accept these cases
📋 Important note:
After you book, we will review your referral and booking details.
If the selected clinician isn’t suitable, we’ll either:
● Offer you an alternative clinician, or
● Cancel the booking if no match is available
You will be notified directly if any changes are needed.

What You’ll Need During the Booking Process
1. Upload Your Referral Letter
✔ Must include your condition and the type of service requested
✔ Can be addressed to:
– A specific clinician, or
– An open referral (e.g. Mind Oasis Psychiatrist / Paediatrician / Psychologist)
✔ Referrals to external clinicians are accepted if clinically appropriate
🚫 Referral Type
Ensure your referral is not for WorkCover, Medico-legal, CTP claims, or DVA, as we do not accept these cases
2. Complete Patient Intake Form
You must complete this during the booking process — the system will not allow you to skip it.
Includes:
✔ Patient biography & Medicare details
✔ Claimant details (if patient is aged 15 or under)
✔ Consent form
✔ Condition-specific questionnaires (e.g. ADHD)
3. Make Full Payment
💳 100% of the consultation fee is payable at the time of booking
📩 An invoice will be emailed to you once payment is paid in full
🏥 If eligible, our clinic will submit a Medicare rebate claim on your behalf within 3 business days following your appointment.
⚠️ Medicare Rebate Eligibility – Patient Responsibility
Patients are fully responsible for checking their own Medicare rebate eligibility before booking. If a medicare rebate is declined, the full fee still applies and we’re unable to offer refunds.
Some item numbers (e.g. 92437 – initial telehealth with psychiatrist) have special conditions. For example, if you have seen any psychiatrist within the past 48 months, you may not be eligible for a rebate.
Cancellation Policy
🔄 You may cancel or reschedule with a full refund (minus the non-refundable merchant fee) if you give more than 2 business days’ notice.
Use the “Manage Appointment” link in your confirmation email to cancel or reschedule.
⚠️ Cancellations with less than 2 business days’ notice will incur a 50% cancellation fee.
